Rental Terms and Damage Policy

Luxe Moments Collective offers event rentals for weddings, proposals, date nights, bridal showers, engagement parties, corporate events, and other special occasions. By reserving rental items, you agree to the following terms.
Reservation & Payment
Rental reservations are not guaranteed until a signed rental agreement has been received and any required deposit or payment has been made.
Full payment may be required before the rental date unless otherwise stated in a written agreement.
Rental inventory is reserved specifically for your event date and may be unavailable to other clients once booked.
Security Deposits
Certain rental items may require a refundable security deposit.
Security deposits are intended to cover damage, excessive cleaning, missing items, theft, late returns, or violations of this policy.
Security deposits will typically be refunded within 14 business days following the event, provided all rental items are returned in acceptable condition.
Delivery, Setup & Pickup
If delivery and setup services are included, Luxe Moments Collective will coordinate delivery and pickup times with the client.
The client is responsible for ensuring reasonable access to the event location.
Additional fees may apply for:

Long-distance travel

Stairs or difficult access points
-
Extended setup times
-
Multiple delivery locations

After-hours delivery or pickup requests
Care of Rental Items
Clients are responsible for all rental items from the time of delivery until pickup or return.
Rental items should be protected from:

Theft
-
Vandalism
-
Excessive dirt or staining
-
Weather exposure
-
Fire damage
-
Pet damage
-
Misuse or negligence
Items should not be altered, painted, glued, nailed, stapled, drilled, cut, or modified without prior written approval.
Decorative Structures & Specialty Installations
Certain rental items offered by Luxe Moments Collective, including but not limited to arches, backdrops, luxury picnic setups, tablescapes, marquee letters, floral installations, proposal displays, candle arrangements, lantern displays, decorative furniture, and specialty event décor, are intended for decorative purposes only.
Clients and guests may not climb on, stand on, sit on, hang from, lean on, swing from, move, alter, or otherwise misuse these items unless specifically authorized by Luxe Moments Collective.
The Client assumes full responsibility for the conduct of all guests, vendors, and attendees in relation to rented items. Any damage resulting from misuse, negligence, unauthorized movement, improper handling, weather exposure, vandalism, theft, or failure to follow provided instructions shall be the responsibility of the Client.
Should any decorative structure or specialty installation become damaged, lost, stolen, or destroyed during the rental period, the Client agrees to pay all repair, replacement, cleaning, labor, transportation, and administrative costs associated with restoring or replacing the affected item(s).
For safety reasons, Luxe Moments Collective reserves the right to refuse installation or require the removal of any rental item if conditions are deemed unsafe or likely to result in damage to the rental property or injury to guests.
Weather Policy
Many rental items are intended for temporary event use and may be damaged by severe weather.
Clients are responsible for providing adequate protection from rain, flooding, high winds, excessive heat, and other environmental conditions.
Weather-related damage may result in repair or replacement charges.
Damaged Items
Normal wear and tear is expected.
However, clients are responsible for the repair or replacement cost of rental items that are:

Broken
-
Burned
-
Torn
-
Stained beyond normal cleaning
-
Lost
-
Stolen
-
Destroyed
-
Damaged due to negligence or misuse
Replacement costs will be based on the current market value of the item plus any associated labor, shipping, administrative expenses, and applicable taxes.
Missing Items
Any rental items not returned at the time of pickup or return will be considered missing.
Clients may be charged the full replacement value of missing items.
Late Returns
Items that are not available at the agreed-upon pickup time may incur additional rental fees.
Additional charges may apply for delayed returns, rescheduled pickups, additional trips required to recover rental items, or extended possession of rental property beyond the agreed rental period.
Cleaning Fees
Rental items should be returned in substantially the same condition in which they were provided.
Reasonable post-event cleaning is included; however, excessive dirt, stains, food residue, wax, smoke damage, pet hair, bodily fluids, glitter, confetti, adhesives, or other unusual cleaning requirements may result in additional cleaning fees.
Theft & Unattended Property
The Client is responsible for safeguarding all rental items throughout the rental period.
Luxe Moments Collective is not responsible for lost, stolen, or vandalized rental items once they have been delivered to the event location.
The Client agrees to reimburse Luxe Moments Collective for the full replacement cost of any items that are lost, stolen, or irreparably damaged.
Force Majeure
Luxe Moments Collective shall not be liable for failure to perform rental services due to circumstances beyond reasonable control, including but not limited to severe weather, hurricanes, floods, fires, government restrictions, venue closures, labor disruptions, transportation interruptions, natural disasters, acts of terrorism, pandemics, or other unforeseen events.
In such cases, Luxe Moments Collective will make reasonable efforts to reschedule services when possible.
Limitation of Liability
To the fullest extent permitted by law, Luxe Moments Collective’s liability arising from any rental transaction shall be limited to the amount paid by the Client for the rental services in question.
Luxe Moments Collective shall not be liable for indirect, incidental, special, punitive, or consequential damages, including lost profits, emotional distress, event disruption, or costs incurred due to rental item failure, delay, or unavailability.
Client Liability
The Client assumes full responsibility for all rental items and for the actions of guests, vendors, contractors, venue staff, and attendees during the rental period.
The Client agrees to indemnify and hold harmless Luxe Moments Collective from any claims, damages, injuries, liabilities, expenses, or legal actions arising from the use, misuse, installation, transportation, or possession of rental items.
Right to Refuse Service
Luxe Moments Collective reserves the right to refuse delivery, setup, installation, or rental services if conditions are deemed unsafe, inaccessible, unlawful, or likely to result in damage to rental property or injury to any individual.
Agreement
By booking rental items from Luxe Moments Collective, the Client acknowledges that they have read, understood, and agreed to these Rental Terms & Damage Policy.
